MAIL HANDLING SERVICE TERMS AND CONDITIONS

A mailbox service is available to those on either a Resident Membership Package or a Virtual Office Package. The mailbox service offers a registered postal address to which postal packets may be sent and for the holding of packets so sent for collection by the member. To apply for the mailbox service, you must complete a Mail Handling Application Form.

Mailboxes must be used in a manner consistent with the Mill House objectives set out in our Terms and Conditions and Mill House reserves the right to suspend or terminate provision of the mailbox service to any member or to inspect and/or remove the contents of any mail if or when it suspects it is being used in contravention of these Terms and Conditions or the objective set out in these Terms and Conditions. Mill House shall have the right to draw the contents of any mail to the attention of any relevant authority should it deem it appropriate to do so.
Mill House accepts no liability whatsoever for the safety or security or for the loss of (including by theft) or damage to any mail or goods in any mailbox or consequential loss of any kind (including but not limited to business loss) arising out of the loss, misplacement, or theft of any items of post. Members accept that when using such facilities their mail is stored at entirely their own risk and it shall be the members responsibility to insure against the risk of loss, theft, or damage to their mail or against any consequential loss arising therefrom.
If a members application for the mailbox service is granted the member shall be under a continuing obligation to notify Mill House of any change to the information given on the application form or any relevant change in circumstances at any time during the period of his or her membership.
Mill House is not obliged to and does not agree to hold mail for any member wishing to use the mailbox service where there is a pending application for the mailbox service and while the background checks are being completed. The member agrees that a period of up to ten days, subject to all paperwork being received, may elapse between the date of the application and the date of confirmation of acceptance and the start of the mailbox service after such acceptance.
In the event that the information supplied by a member in an application form is discovered at any time to be inaccurate or incomplete, or if the results of any background check are unsatisfactory for any reason, then Mill House will refuse to grant the application from the member in relation to the same or immediately terminate the mailbox service.
Important Information you should know:

ID – Proof of ID and proof of address is required for every client using our service. This is a legal requirement under the Anti Money Laundering Regulations.

An account will not be considered active until a) we have received payment in full for the services needed; b) valid, up to date, ID is held for every name on the account.

We will hold mail for 1 month (free of charge) to allow fees to be paid and ID to be provided. After this time it will be returned to sender or destroyed. Storage fees may be charged after 24 hours for parcels. A disposal fee will be charged for mail that is not forwarded or returned to sender.

By using this service you hereby acknowledge that you have read, fully understood and agree to be bound by these Terms and Conditions of Service together with Mill House general Terms and Conditions which can be found on our website and all applicable laws and regulations which are construed in accordance with English law and operate in addition to your statutory rights.

Client account information is stored for 5 years after a client account is closed, to comply with the Anti Money Laundering Regulations.

If you expect to receive large, bulky or heavy items then we must be notified either by phone or email prior to the expected delivery date. Mail storage fees may be charged for these items from when they arrive.

You are entitled to print or display our mailing address on all stationery, online or on other products only during the term of our agreement.
You cannot use our address for:

MLR Registrations: Mill House does not allow MLR registrations.

Electoral Registration: Mill House does not allow the use of our address for the purposes of electoral registration. To provide false information in the pursuit of electoral registration is a criminal offence which carries a custodial sentence and/or fine. All such breaches will be reported to Police for investigation.

Driving Licence and Vehicle Registrations: Documentation from DVLA can be received by Mill House, however the address should not feature on DVLA documents that belong to you.

Prohibited Goods: include: Medicines, Drugs, Aerosols, Nail Varnish, Polish & Gel, Perfumes and Aftershaves. This is not a comprehensive list.
